How to plan coffee service for an office event

Start with the event, not the equipment

A useful coffee brief explains who needs serving, when they will arrive and how service should fit around the event. Make clear that you want a staffed coffee service rather than equipment-only hire, and separate confirmed details from estimates.

With Pan-n-Ice, you can discuss a staffed coffee bar or cart and a menu built around your event. Start with the drinks your guests will enjoy, then confirm the proposed menu and what is included in your quote.

The occasion

Describe the occasion: an internal meeting, training day, visitor event or another office gathering.

The people

Give the expected attendance and explain whether everyone will be present together or joining at different times.

The timing

State whether you want service at arrival, during scheduled breaks or across a wider event window.

Show where demand will concentrate

Attendance alone does not describe the service brief. Share the agenda and highlight moments when guests may all want a drink at once. Ask the supplier to assess staffing and setup against those moments, rather than assuming the total guest count determines the right arrangement.

For arrivals, explain whether guests will come through one reception point or reach the service area gradually.

  2. 02

For breaks, provide the scheduled start and finish times and say whether sessions can release guests in groups.

  3. 03

Ask how the proposed service would handle your busiest period, including where guests would order, wait and collect drinks.

Check the venue before agreeing the setup

Ask your facilities or venue contact to check the proposed service position and delivery route. Share a floor plan or measurements if available, then ask the supplier to confirm whether the space and facilities suit its proposed setup.

Getting in

Confirm delivery access, unloading arrangements, security procedures and any lift or doorway restrictions.

Utilities

Ask the supplier for its space, power, water and waste requirements; have the venue confirm what it can provide.

Guest flow

Check that the proposed queue and collection area will not obstruct reception, accessible routes or emergency exits.

Setup & collection

Agree when setup and collection can happen, including any restrictions on working around occupied offices.

Confirm the menu and dietary questions

Ask which drinks are proposed for your event and whether the menu should be adjusted around the agenda. Pass on any known dietary requirements, but do not promise guests a particular option until the supplier has confirmed availability and relevant allergen information.

Ask about available milk choices, ingredients and allergen-handling procedures, including any cross-contact limitations.

Confirm who supplies cups, lids, stirrers and other serving items, and agree how used items and waste will be handled.

Make the quote and responsibilities clear

Ask for a written quote that identifies the proposed staffed service, service window, menu, inclusions and exclusions. Clarify how drink quantities are agreed or charged, what happens if requirements change, and which responsibilities sit with your team.

Costs. Check the total cost, VAT treatment and any delivery, access or additional-service charges.

Terms. Confirm booking, payment, amendment and cancellation terms before committing.

Contacts. Name an organiser and venue contact for access, setup approval and questions on the day.

Decide how you want to make it your own

A coffee service can be part of the event’s identity, not just its refreshment break. Tell us what you want guests to notice: your brand, a campaign message or a theme running through the day. Pan-n-Ice can design the branding in-house and discuss how it will work across the setup and the drinks.

Brand the setup: customise the coffee bar, cart or truck with your client’s branding.

Carry the design through to the cups: choose branded coffee cups or customised clear cups for iced coffees.

Add a detail to the drink: print a logo, phrase or image on top of the coffee.

Build a bespoke menu: shape the menu around the event’s theme rather than treating it as a separate detail.

Consider something alongside the coffee: discuss branded snacks, such as branded croissants, if food would suit the occasion.

A detail that carries the branding into the drink itself.

Include the branding you have in mind in your initial brief. Share any artwork, brand guidelines and event theme, and explain whether you need design support. Ask us to confirm which options suit the proposed service, the costs, artwork approvals and timings. These are customisation options to discuss, not items automatically included in every coffee booking.

Your coffee-service quote brief

Use this checklist to discuss your office event with Pan-n-Ice and request a quote for a staffed coffee bar or cart. Mark anything unresolved as a question so the proposed service can be assessed against your actual brief.

  • Event date, venue address, occasion and expected attendance.
  • Arrival pattern, agenda, break times and requested service window.
  • Proposed service position, available space, delivery route and venue restrictions.
  • Menu preferences, known dietary questions and any unconfirmed requirements.
  • Customisation ideas: setup and cup branding, coffee-top printing, a themed menu or branded snacks; artwork available and any design support needed.
  • Budget guidance, requested quote breakdown and questions about inclusions.
  • Organiser and facilities contacts, plus any venue checks still outstanding.
